InformationBodyFeature Overview Stay on top of your cash flow by scheduling automatic email reminders for your customers when an invoice is approaching or past due. This feature helps reduce late payments and saves you time on manual follow-ups. Invoice reminders are automatic emails sent to your customer at key moments—before, on, or after the invoice due date. You can customize the reminder schedule for each invoice you send. Send autoreminders for Estimates as well. Reminders can be sent before and on the estimate expiration date. Who can use Invoice and Estimate Auto-reminders? Plus and Premier Plan customers have full access to add up to four reminders. Standard Plan customers can add one reminder. If more are needed, you can upgrade your plan to get full access to this feature. To learn more about plans and pricing, go here. How to set up Reminders Create a new invoice or estimate, or open a draft invoice or estimate. Invoices: Go to Sales > Invoices.Estimates: Go to Sales > Estimates. Find toggle labeled Send due date reminders. This is off by default. Click the toggle ON to open the reminder setup window. Add up to four reminders per invoice. Example of invoice reminders: 7 days before due date.On due date.1 day after due date. Example of Estimate reminders: 3 days before expiration date.On expiration date. Choose your preferred schedule and select Save. Note: If no reminders are saved, the toggle will switch back off. Reminders are sent at 8:00 AM ET on the selected day. Note: Invoices: only if the invoice is still unpaid. If an invoice is paid the reminder will not send. Estimates: only if the estimate is in sent status. If the estimate has been accepted, declined, or converted to an invoice the reminder will not send. Edit or Delete Reminders You can manage reminders on draft invoices or estimates. Follow the steps below for how to proceed. Note: If an invoice is paid or deleted before a reminder is due, we won’t send it. Similarly, if an estimate is accepted, declined, converted, or deleted before a reminder is due, we won't send it. Navigate to the applicable invoice or estimate. Go to Sales > Invoices.Go to Sales >Estimates. Select the draft you want to edit reminders on. Select view/edit schedule. A window will open with the reminder schedule. To delete: select the X icon on the reminder you want to delete. To edit: Send reminder: click the drop-down menu For Invoices select: “before due date,” “on due date,” or “after due date”. For Estimate select: “before expiration date,” or “on expiration date”. Number of days: click on the days field and change the number of days to desired number. Complete changes as needed and select Save. Rules & Limits You can’t add more than four reminders. You can’t add duplicate reminders (e.g., two for the same day). Invoices: If you choose “On due date,” you won’t need to set a number of days. “Before due date” reminders can’t be scheduled on or before the invoice send date. If the invoice is paid or deleted before the reminder is sent, we’ll skip the email. Reminders only go out for unpaid or overdue invoices. Estimates: If you choose “On expiration date” you won’t need to set a number of days. “Before expiration date” reminders can’t be scheduled on or before the estimate send date. If the estimate is accepted, declined, converted, or deleted before the reminder is sent, we’ll skip the email. Reminders only go out for estimates in Sent status. Changing Plans and Reminder Access If you upgrade to Plus or Premier, you can edit reminder schedules on any draft or future invoices or estimates. If you downgrade to Standard, reminder emails will still go out for invoices and estimates created while you were on a paid plan—but new invoices and estimates will only have standard access of reminders.
