QuickBooks Desktop Syncing

To sync your invoices from QuickBooks Desktop to your BlueVine dashboard for one-click funding, you will need to download and install the BlueVine Sync Manager. If you need this software, you will receive a message in your BlueVine dashboard.

Installing BlueVine QuickBooks Sync Manager takes less than 5 minutes.


Get started: initiate your QuickBooks Desktop link


If you didn't add a QuickBooks Desktop connection when you first registered, you can connect your QuickBooks at any time. In your dashboard, go to the Profile screen and select the "Online Accounts" tab at the top. Add a connection to QuickBooks Desktop.


Step 1: Install and run the BlueVine Sync Manager

 
  • Download the Sync Manager. You will find the link in a pop-up message in your BlueVine Dashboard.
  • Once you have downloaded the installer, run it to get the following page. Click “Next” and follow the installation wizard instructions until it is completed.


 
  • After installing, check "Launch BlueVine Sync Manager" and click "Finish".


Step 2: Connect your BlueVine Dashboard by adding a token

 
  • Go to your BlueVine Dashboard. Copy the token from the pop-up message and paste it into the Sync Manager under "Agent Token:"


 
  • Press the "Save" button in the Sync Manager. In a few seconds you should see the red “X” on the BlueVine tab turn into a green check mark. This indicates the connection was successful.


Step 3: Connect your QuickBooks Desktop

 
  • Open QuickBooks Desktop. If you have multiple company files in QuickBooks, be sure that QuickBooks is open to the company file you want to sync with BlueVine.
  • Go back to the Sync Manager.
    • Select the “Accounting” tab.
    • Click the "CONNECT" button in the Sync Manager.


 
  • Go back to QuickBooks Desktop.
    • An "Application Certificate" dialog will pop up from QuickBooks Desktop Application.
    • Select "Yes, always; allow access even if QuickBooks is not running" and click on "Continue ..." This will allow the agent to get the invoices and customer information from QuickBooks Desktop and sync it to your BlueVine Dashboard.

 
  • In some cases an additional confirmation dialog will be shown by QuickBooks Desktop application. If you see this additional confirmation message, please click on "Done" to complete the process.


 
  • Go back to the Sync Manager.
    • After a few seconds you should also see a green check mark replace the red “X” on the Accounting tab.
    • When the green check appears, confirm that the name of your company and the data file on the Accounting tab is correct.


Step 4: Begin the sync

 
  • When both the BlueVine and Accounting tabs show green check marks, then go to the Accounting tab and click on “Run Sync” to start the initial synchronization process. The first time this is done it may take up to several hours.
  • Once the synchronization process is completed you can see under the BlueVine tab of the agent that the Status is "Connected”, and below that it will say "SYNC COMPLETE"

Your invoices will now continue to sync seamlessly with your BlueVine dashboard so you can get funding for an invoice with a quick click.
